Job Overview
Maple Supply Chain Management Inc is seeking a highly organized and proactive Office Manager to oversee the daily administrative operations at our Stoney Creek office. As a key member of our leadership team, you will supervise a small group of office staff, streamline administrative procedures, coordinate office services, and support budgeting and reporting activities. This position is ideal for an experienced administrator who is ready to step into a leadership role, take ownership of office efficiency, and support the growth of a dynamic supply chain and logistics business.
Languages
• English (spoken and written) required for communication with clients, staff, and management
Education
• Secondary (high) school graduation certificate, or
• Equivalent experience in office administration or management
Experience
• 1 year to less than 2 years of experience in an office management, office administration, or similar supervisory role
• Experience in logistics, transportation, or supply chain office environments is an asset but not mandatory
Work Setting
• Office environment within a supply chain/logistics company
• Fast-paced, deadline-driven setting with coordination across operations, accounting, and management
• Supervision of 3–4 office support staff
Key Responsibilities (Tasks)
Office Administration and Procedures
• Implement new administrative procedures to improve efficiency and accuracy
• Review and evaluate existing administrative procedures and recommend improvements
• Oversee and coordinate office administrative procedures to ensure consistency and compliance with company standards
• Carry out the general administrative activities of the establishment, ensuring smooth day-to-day operations
• Establish work priorities and ensure procedures are followed and deadlines are met
Staff Supervision and Leadership
• Delegate work to office support staff based on skills, workload, and priorities
• Train new and existing staff on office procedures, software, and company policies
• Supervise 3–4 staff members, providing guidance, feedback, and support
• Resolve conflict situations within the office in a professional and fair manner
• Promote a positive, collaborative, and service-oriented office culture
Office Services and Coordination
• Co-ordinate and plan for office services such as accommodation, relocation of workspaces, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services
• Liaise with vendors and service providers (e.g., IT, cleaning, maintenance, security) to ensure service quality and timely resolution of issues
• Maintain and monitor inventory of office supplies and equipment; manage ordering and cost control
Budgeting, Reporting, and Controls
• Assist in the preparation of the operating budget and support financial planning activities
• Maintain inventory and budgetary controls to ensure spending stays within approved limits
• Assemble data and prepare periodic and special reports, manuals, and correspondence for management
• Support management with analytical information related to office operations, costs, and efficiency
Documentation and Compliance
• Maintain accurate and organized records, logs, and documentation relating to office operations
• Ensure adherence to company policies, confidentiality standards, and any relevant regulations
• Contribute to the creation and updating of office manuals and procedure documents
Computer and Technology Knowledge
• Electronic mail systems (e.g., Outlook-based communication)
• Accounting software (for basic entries, invoice tracking, or report generation as directed)
• MS Office, including:
• MS Excel (spreadsheets, basic formulas, tracking and reports)
• MS Word (letters, documents, policies, and reports)
• MS PowerPoint (basic presentations for internal or client use)
• MS Outlook (email, calendar, scheduling)
Work Conditions and Physical Capabilities
• Work under pressure at times to meet multiple deadlines and support operations
• High attention to detail in documentation, reporting, and scheduling
• Primarily office-based role involving extended periods of sitting at a computer
• Occasional light physical tasks (moving files, organizing supplies, minor office setup)
